Anytime Radiology: Recruiting and credentialing radiologists in Attio
Anytime Radiology is a 24/7 teleradiology organisation, significantly doctor-owned and led, supporting 57 acute hospitals across Australasia. It was formed by bringing together the remote reporting arms of two large radiology groups, with support teams in Sydney, Christchurch and London and more than 100 radiologists reporting around the clock.
The challenge
In teleradiology, radiologists are the scarcest resource there is. Finding them, onboarding them and keeping their credentials current is the work that keeps the reporting running, and Anytime was doing it with tools that were never built for the job.
The recruitment pipeline lived in a Monday.com list, with notes dropped into comment boxes. Radiologist profiles sat in an Excel master sheet. Credential expiry dates were tracked in another spreadsheet and followed up by hand. Everything else was scattered across inboxes, Teams chats and SharePoint folders, and much of the detail about who prefers which shifts and time zones lived in a couple of people's heads.
The biggest pain came after a contract was signed. Finance, IT, rostering, training and credentialing all needed to know about a new radiologist, and each needed different information. Without one place to see where things were up to, the team spent their time chasing each other. Merging two businesses made it harder again, with different processes in Australia and New Zealand.
The brief was clear: a doctor-centred system, not a sales CRM, and simple enough that a busy clinical team would actually use it.
What we did
We began with discovery sessions across Anytime's leadership and support teams, mapping how radiologists were recruited, onboarded and credentialed in both Australia and New Zealand, and where each hand-off broke down. From there we carefully designed the future state, agreeing the data model, the recruitment stages and the automations before anything was built. The build itself ran in weekly working sessions with the Anytime project team, who tested every stage against real scenarios.
One record for every radiologist. Attio now holds a complete profile for each radiologist: registered jurisdictions, reporting locations, shift preferences, contract details, skills and subspecialties, and every email and note. Recruitment Cycles and Credentials sit alongside as connected records, so the full history of a radiologist is one click away.
A recruitment pipeline that does the admin. Candidates move across a Kanban board from first lead to active radiologist. Moving a card to the information collection stage sends a welcome email tailored to the radiologist's jurisdiction, with links to online onboarding and subspecialty forms built in Typeform. Their answers flow straight into their Attio profile, replacing the PDF forms radiologists used to tick by hand.
Onboarding hand-offs on autopilot. When a radiologist moves to onboarding, Attio emails IT, finance, rostering, training and credentialing with exactly what each team needs, and creates a task for each one with a due date. Each email can be switched off case by case, and once onboarding is complete the radiologist is marked active automatically.
Credentials that watch themselves. Every registration, practising certificate and indemnity is recorded with its issue and expiry dates. A daily check flags anything approaching renewal as expiring soon, then expired, and gives the owner a task to follow it up. A dedicated view shows each radiologist's credentialing status across Australian health services, ready to export for hospital reporting.
An AI-enabled CRM. With every radiologist's jurisdictions, reporting locations, subspecialties and shift preferences in one place, Attio's AI can answer the questions that used to take hours of digging through spreadsheets. The team can ask which active radiologists are competent in a subspecialty and available in the right time zone to fill a shift, or see at a glance where coverage is thin across a region. The same AI drafts emails, creates tasks and updates records, and Attio connects to Claude and ChatGPT so the team can work with their data wherever they are.
Before go-live we loaded the recruitment pipeline from Monday.com, including its historical notes, along with the team's credentialing data. We then trained the wider team in their own accounts, including the Attio mobile app for staff on the move.
The outcome
Anytime now runs radiologist recruitment, onboarding and credentialing from one system. Every team can see where each radiologist is up to, the hand-offs that used to be chased by email happen on their own, and credential renewals surface before they become a problem.
Within days of launch the team was building their own views and exporting data as they needed, and planning is already under way for the next iteration, including an investor pipeline and secure document integration.
